Introducing Posters in Sessionboard

Posters are now a first-class part of the Sessionboard program. Authors upload their work once against the session it belongs to; organizers publish it to a branded, searchable Poster Gallery; attendees reach it online, on the screens in the poster hall, or by scanning the QR label next to a printed board — and the engagement it generates comes back as data you can plan next year's program from.

The important word is inside. This isn't a poster tool that sits next to Sessionboard. Posters live on the same records as their abstracts, authors, and sessions, in the same CMS (content management) layer that publishes the rest of your program content. Same schedule, same author identity, same review history, same disclosure.

Why posters belong in the program, not beside it

Poster sessions are a core part of medical, scientific, and academic congresses, and they hold the densest concentration of expertise at the meeting. A large congress accepts hundreds—often more than a thousand—and each one is a named expert, a peer-reviewed topic, a signed disclosure, a stated learning objective, and a finding.

As that experience went digital, most organizers added a separate poster tool to a program managed somewhere else. The result is disconnected workflows, disconnected content, and disconnected data. Attendees browse static PDF lists instead of finding the research they came for. After the meeting, the content is harder to reach than it was during it: marketing can't reuse it, members can't find it, and organizers learn nothing about which posters or topics actually drew a crowd.

The root problem is that posters get treated as a standalone deliverable instead of part of the broader program. Sessionboard closes that gap by keeping the poster on the same record as everything around it.

How a poster program runs in Sessionboard

Collect. Posters come in through the workflow you already use — sessions, sub-sessions, and abstracts — with the file type and requirements set per format, and each upload tied to the correct author and session. You get a live view of what's in and what's still outstanding, per session and per author, so chasing is a filtered list and a bulk message rather than a week of cross-referencing before load-in. Authors upload in whatever the congress accepts: usually PowerPoint, also PDF, Word, or video. If you're already running abstract management software in Sessionboard, the poster is simply the next state of a record you've held since submission — same abstract ID, same author, same session, same disclosure.

Publish. The Poster Gallery is a public, branded gallery that attendees search and filter by track, session, day, author, and keyword, on any device, with no app and no login. Posters can be grouped by session and sub-session or presented standalone. Each one opens into a Single Poster View with its rendered sections and its actions in reach.

Connect. The same gallery renders three ways. Online in any browser, before, during, and long after the meeting. Full-screen and touch-friendly through Kiosk Mode, built for the TVs in the poster hall. And behind QR Labels you download and print for the boards, so a scan opens the digital record of the poster the attendee is standing in front of. Export hands your print provider print-ready files in bulk, by track, by room, or all at once.

Engage. Ask the Author lets an attendee send a name, email, and question that routes to the organizer, then to the author, who replies from the Speaker Portal—with the thread visible to admins and the feature toggleable per gallery. Alongside it, My List and the poster actions let attendees save posters, copy the citation, grab the link or QR, add the session to their calendar, and download the file. Authors can also share their own poster link, which is the most credible promotion of your meeting.

Measure. Gallery analytics surface the most-viewed and most-interacted posters, feeding Content Intelligence and closing the loop from abstract to poster to measurement. Most poster tools stop at "we hosted it." This tells you which research actually drew a crowd, and hands that signal back to the people planning next year.

One source, three surfaces

The differentiator to lead with on-site isn't that there are three surfaces — it's that all three render from the same program. Update once and every surface is current: no duplicate uploads, and no version drift between the screen in the hall and the link you emailed last week. A correction made Tuesday morning is correct on the hall display, in the listing on your site, and behind every QR code on the boards by Tuesday afternoon.

What it changes for the teams around you

Because the poster stays structured rather than flattening into a file, four teams stop waiting on you. The program scores topic demand from real attendee behavior instead of committee instinct. Education already captures learning objectives and disclosures at submission, so accepted posters can become enduring materials and continuing-education content without rebuilding the program later. Marketing gets attributed, disclosed, quotable content from named experts. And membership gets a searchable library that gives members a reason to return in the months when there's no event.

Who it's for

Medical, educational, and academic congresses and associations — especially medical associations running large annual meetings, where posters are a high-volume core format, disclosure and terminology accuracy matter, and there's real appetite to turn a three-day congress into year-round member value.
