The situation

I talk to association teams every week where the annual meeting is really two programs in one badge: the conference track (CFP, committees, sessions) and the awards track (nominations, judging, gala).

Members experience one event. Your staff experience two backends, often two vendors, sometimes two chapters of the same contract.

What breaks

Duplicate speaker records. A member nominated for an award and accepted for a session shows up twice. Two portal logins, two email threads, two versions of the same bio.
Judges vs reviewers. The same volunteer gets committee mail from both sides with different instructions and permissions that do not line up.
Reporting. Leadership asks how many members engaged with content this year. Someone exports two CSV files and spends a weekend in VLOOKUP.

One program director told us on onboarding that her awards chair and abstract chair both maintained "master spreadsheets" for the same people. Neither was wrong. Neither was complete.

What good looks like

One person record, multiple roles. Awards and sessions can follow different workflows, but identity, communication history, and deadlines should not fork.

How teams solve it

Some associations rip and replace the whole stack. That works, but it is expensive and scary mid-contract.
