Content Management Made Easy - February 2023 | Product Update

Sessionboard offers an intuitive experience for speakers and speaker managers to manage session content via the portal.

This month we are introducing powerful new functionality, optimized notifications, and some efficient shortcuts to make your workflow even easier.  

Our update includes:

  • Content Management (uploads, organization, downloads, and more...)
  • Portal Due Date Banners (communicate tasks completed & remaining easily)
  • Salutations, Time Zone Changes, Scheduling Simplifications, and more...

✔ Session Content Management

Collecting presentation and audio-visual materials for conference sessions can be a time-consuming process. Challenges include transferring large multimedia files, keeping track of constant updates, ensuring content is organized, and finalizing details on a deadline.

Sessionboard now offers an intuitive experience for speakers and speaker managers to manage session content, upload and update files, and communicate with each other via the event portal. With a generous file size limit of 2GB per file and built-in tools to manage versions and comments, our solution lets you regain control of the content management process.

Session Content Upload

Content can be uploaded to a session by any speaker who has portal access, or an event administrator.

  • This will allow speakers with portal access to upload content to their session(s).
  • Note that admin users can upload content at any time via "Sessions".

For Portal Users (Speakers)

When content upload is enabled, speakers can click on their session in the portal to upload content or view the submission.

Speakers can also see a count of files uploaded to their session, along with the count of comments on those files.

  • The speaker can drag and drop or select files for upload. The file limit, due date, and file type restrictions, along with the file size limit will be communicated here.
  • Multiple files can be uploaded at the same time, as long as they do not exceed the total limit of files per session.

Comments On Content Uploads

Speakers can add and view comments on session content within their portals.

Commenting is a quick and simple way to communicate why files are being updated, any changes that need to be made, or other relevant information between speakers and event admins.

Content Uploads For Administrators

Admins can upload content at any time by clicking the lightening bolt to the left of a session and then clicking the “Content” tab.

The steps to upload, set file content type, version, and action content are the same as in the portal.

Admins can now see a “Content” page that contains all content uploaded to sessions. From here, you can see what sessions have content uploaded, how many comments are made along with last comment date/time, and open the related session to respond to comments or update files.

Downloading Content

Admins can easily download the session content of their choosing

Simply click the "download content" button which will open a window that lets you organize content into folders before downloading it.

By default, content is organized by date, then room, then session.

✔ Portal Due Date Banners

Speakers can now see at a glance when opening their portal if tasks are due soon, and click to be taken to their tasks filtered by range of due date:

Speakers now have even more transparency into their remaining and completed tasks directly from their portal home screen.

Sessionboard is focused on making you and your speaker's job easier so you can focus on putting on a good presentation for your attendees.

✔ New People/Speaker Fields

You can now add a “salutation” (i.e. Mr, Ms. Dr) and honorific (e.g. PhD) to your contacts and use this information in email merge tags. An important distinction that can go a long way.

✔ Date and Timezone

Changing the event time zone in the "Details" tab, even after building your schedule, will intuitively keep the proper times in place.

✔ Scheduling Sessions

“Starts At” now prefills the event start date and time when working with unscheduled sessions, so you can easily navigate to the correct date and time. This can save time when adding sessions on the fly.
