June Product Update: Introducing Custom Portals

Custom Portals allow you to create an intuitive experience for your speakers & sponsors, based on their unique needs.

Problem We Heard

Not all speakers and sponsors are created equal.

As a result, the items you need to collect, the tasks you need them to complete and the information and documents you need to share are likely very different depending on who they are. 

For example...

Take Speakers:
- Main stage speakers may have different tasks than breakout session speakers.
- "Saturday Speakers" may need to see different info than "Sunday Speakers", and some fit under both categories.
- Speakers that are also sponsors will have more tasks than those who are speakers only.

Take Sponsors
Many events have a tiered system for sponsors which reflects their financial commitment to the show.
- Gold sponsors may have different tasks, information and/or items to submit compared to Silver or Bronze sponsors.
- A sponsor that is also an exhibitor may also have different assets they need to submit than a sponsor who is not exhibiting.

The Results of Not Having a Custom Portal:
- A bad experience for your speakers, sponsors and/or exhibitors (it takes a lot of time to sift through information that is not specific to their situation).
- More back and forth (i.e. a lot more of your time for you and your staff) answering questions, troubleshooting and trying to make up for a generic experience.

Therefore, the need to customize the portal for different speakers and tiers of sponsors is essential for the event organizer. After all, our unique portal feature is one of the most powerful tools our platform offers. It revolutionizes the workflow of speaker and sponsor management, from on-boarding to communications and so much more.

So how do we solve for those situations that are a bit more complex?

Our Solution

To give you “the organizer” the ability to create custom and dynamic portals that are specific to the individual speakers, sponsors and/or exhibitors participating in your show.
Now you can create a personalized experience that has the unique sessions, tasks, documents and information for each type of speaker, sponsor, exhibitor and scenario.  

First, let's look at our speaker portal example referenced earlier...

On the left you have your "Saturday Speakers" portal. On the right you have your "Sunday Speakers" portal.
Here we have Ian's portal view, showing both his Saturday and Sunday speaking sessions. All of his tasks for each will flow through this one portal view.

Next, let's look at what our Organizer sees in their Dynamic Dashboard as they customize their Sponsor portals, based on the tier system we mentioned in our example...

Now it's easy to customize the tasks and messaging for your sponsors, based on their commitment level to your event.

So Now:
- Your Main Stage Speakers can see only the the information relevant to them.
- Those Gold Sponsors that are also speakers can just see the tasks relevant for them in all of their roles within your event.
- The Saturday Speakers and Sunday Speakers will see only relevant information and tasks for the day they are taking the stage. For those speaking both days, they will see what is relevant for both days.

The Result:

Custom Portals make complex event-planning simple, seamless, and intuitive. Rather than focusing on the mundane details that make you want to pull your hair out, you can spend more time on the experience you’re building for your attendees. 

What are “Portals”?

Portals are mini-websites that contacts such as speakers and sponsors use to onboard for the event. Event organizers can add forms, tasks, request files, and share information with participants during the event lifecycle. Each contact has a unique portal to submit information and stay updated about the event. All information, communication, and content is easily managed via the portal and the event organizer’s dashboard.
